The decision

You have decided to change your premises, the ones you are currently occupying had become too small and outdated. You have found new premises that are very well suited to your business, but which still require some work. Now that you've estimated the cost of the work, and you're 100% sure of your decision, you can send your notice to leave your old premises six months before the planned date, which is the most common deadline for moving a business. Once you have made your decision, you will need to inform your employees and staff early on, as they will be involved in the business relocation, and will be part of the set-up of the office move.

Choosing the best service provider for your company's move

An industrial move or a corporate move will require a significant cost and multiple qualities from the service provider. It is therefore important to compare several offers. The company's manager will have to call for tenders from several companies by requesting a quote online. The estimate for the company move will depend on the type of company, whether it is only an office move or a production line move, the size of the company and the distance between the two locations. You will have to compare the prices and the quality of the different services offered.

The company/service provider relationship

After an initial telephone contact, a single contact person will be designated and a first meeting will be scheduled.

During the first appointment, a visit of the premises of departure and arrival will be carried out, in order to locate the configuration of the places and the accesses, to evaluate the number of stations and the volumes to be transported.

After this visit, an estimate for the company move will be drawn up, as well as the terms and conditions of the service and the schedule for the move itself. A schedule of conditions will have to be filled.

The project including the various points, constraints and difficulties encountered must be validated and the estimate signed.

The precise date of the company's move will be defined, as well as the modalities of execution of the company transfer, the different types of packaging and labeling.

The industrial move

Industrial relocation refers to the relocation of the industrial park, the relocation of industrial machinery and the production line. It often takes place when the company has experienced a large increase in production, to install new production lines. It can also be for the purpose of relocation, to reduce production costs.

The industrial move will have to use a strict protocol with the establishment of a schedule of conditions. Each action of the move must be strictly controlled to avoid errors. A person in charge will be appointed for the management of the company's move.

The essential steps transfer of business

A company move represents a real event in the life of a company. As such, it must be organized well in advance and involve all the entities of the company. 

The higher the number of employees in your company, the longer the preparation time for your company's move. Indeed, for an entity of less than 100 people it will be necessary to count approximately one month of preparation, two to three months for 100 to 300 employees, 6 months for a structure of more than 300 people. 

In general, companies prefer the end of the fiscal year or the school vacations to move. In terms of cost, it is necessary to foresee a sum of between 200 and 250 euros per position, which can reach 2000 euros when taking into account the transfer of furniture.

Before making a new commitment to a landlord, review your current lease agreement. You will find the notice period that you must respect in order to avoid additional costs. 

Then follow the usual steps for moving out: send a registered letter with acknowledgement of receipt to the landlord and plan an inventory of fixtures. If work needs to be done (damaged premises), it may be wise to have it done by professionals, which is probably less expensive than the lump sum your landlord will ask you to pay.

You will also have to define safety rules concerning the transfer: what are your priorities? Your constraints? The number of people to be transferred? Regarding your furniture, ask yourself about its transfer (risks of deterioration, age of the furniture) and compare the cost of it to the purchase of new furniture. Finally, think about the level of service you expect from your mover: what do they do? Who takes care of the moving boxes?

The answer to these questions will allow you to establish an accurate estimate that comes as close as possible to your future moving costs.

In order to involve your employees in the move, designate privileged interlocutors in charge of relaying your messages to all employees.

Communicate widely with the staff in order to make them aware of the stakes of the move. You must also keep the staff representatives informed (staff representatives, CHSCT)...

Think about the possible works, both in the premises you are leaving and in those you are going to move to.

Once the lease is signed, inform the employees so that they can anticipate the cleaning, sorting and archiving of their belongings. During large company moves, assign a code to each employee so that they can find their belongings. 

In order to be operational as soon as possible, make the necessary connections to obtain a telephone line and Internet. A company move requires contacting a large number of institutions to make changes of address: social security, Urssaf, pension fund, press subscriptions... Also inform your service providers, your insurers...

Current records are those that are in use and subject to regular consultation. Intermediate archives can be consulted periodically and are generally kept to meet legal obligations.
